Accommodation – Host Families

How are host families selected?

We have a network of partners at each destination who help us to select the very best host families to host our groups.

All families are the subject of careful selection and must have either a clean Casier Judiicaire (France) or a Certificado de Antecedentes Penales (Spain) or the equivalent of a List 99. In Germany, family members are required to complete an application form and using the form designed by the Federal Ministry, should confirm that they are suitable to host students.

If we have any doubts about the facilities being provided, or, more importantly, the family themselves, they are not selected.

The families are usually well known to our local organisers and are visited on an ad hoc basis to ensure Health & Safety and Safeguarding standards are consistently being upheld.

Who will be in the host family?

The families are preferably composed of a mother, father and as far as possible, children. A single person may be acceptable as a host on the proviso that they meet the rest of Ardmore’s criteria.

Where are the host families located?

We always try to ensure that host families are located within a 2KM radius of the meeting point.

What will the host family provide?

The host family will provide students with a private bedroom, which are mostly twins/triples for the student to share with other students from their school.

The family provides all the meals for the student, which consist of:

  • A continental breakfast which may include cereal, toast, fruit, yoghurt and fruit juice
  • Packed Lunch
  • A plated evening meal with the family

Bed linin is provided by the host family. We ask that students provide their own hand/bath towel.

Will students have their own room in the host family’s house?

  • Yes, students will have their own bedroom which are normally twins or triples and they will share with other students from their trip
  • Always single gender rooms
  • Students will share the host family’s bathroom, all with lockable doors.

Timeframes

When will I receive my final information?

Our agreement with our local organisers/ suppliers is that we are to be provided with the final details included host family details at 14 days prior to departure. Ardmore endeavour to send out final packs approx. 2 weeks before schools depart.

What happens if a student cancels?

Where individuals, teachers, or the group cancels the following cancellation fees will apply:

More than 8 weeks before departure – Loss of deposit.

Within 8-6 weeks of departure – 60% of tour cost

6-4 weeks before departure – 80% of tour cost

Less than 4 weeks before departure – 100% of tour cost.

Can Tours Managers attend parents evening to help promote a trip?

Yes, we would be more than happy to attend parent’s evenings. We are also able to create a presentation for your trip that either the group leader can deliver themselves or your Tours Manager can come and deliver to the parents for you.

Medical

What if the student has a medical condition/allergies/dietary requirements?

You must advise of your students’ dietary/medical requirements at the time of booking. This is very important so that we can pass on vital information to the local organiser, host families and any relevant excursions.
